TRL Ltd is committed to protecting your information. This Notice has been created to help answer questions you may have about how we protect and use the information TRL gathers or processes during the StreetWise trial. Information about how FiveAI protects and uses the information it gathers or processes can be found in its privacy notice here. With regard to your information collected as part of the StreetWise trial, TRL Ltd is the Data Controller for the purposes of the Data Protection Act 2018 and the General Data Protection Regulation (Regulation (EU) 2016/679). The information on this page is intended to supplement the information provided to you by the FiveAI privacy notice. In the event that there is any contradiction between this information and the specific information that you have already been given, the specific information takes precedence. What is the purpose and legal basis of the processing?

Under privacy and data protection legislation all processing of personal data must have an appropriate legal basis. The legal basis for the personal data being processed by TRL is performance of a contract.   

In the case of a late trial cancellation whereby the participant would provide receipts for travel booked and paid for, and we would reimburse the fare, the purpose of collecting financial details and full name is to reimburse participants their travel expenses.

As part of this trial TRL will collect personal information about you relating to personality traits, physical or mental health condition, and lifestyle in a post trial interview with you, however this will not be linkable to your name, only an ID number.

We will only collect, store or use ‘special category’ data if:

  • We have your explicit consent to do so;
  • You have previously made that data public knowledge; or
  • We need to use that data to establish, exercise or defend legal claims.

Before we collect or receive special category data, we will seek your explicit consent to do so.

Information we Collect

We only collect the information you provide to us when you contact us for a refund in the case of a cancelled trial, and the information that you provide to us during the post trial interivew. We will also have access to and use the information you provide in the pre-trial questionnaire and the questionare you complete during the trial to Five AI. 

In each case, the information will be collected by reference to a participant ID that you will be provided with, not your name. Only Five AI will have a record of which individual each particpant ID relates, and we have agreed with them that we will not have access to this information.  

TRL will use this anonymised lifestyle data, physical or mental health condition data and personality data for analysis, post trial. Please note that the results of our analysis of the trial data will be anonymised.

How long we store data

The research data we collect will be stored by us only for as long as it is relevant to the purposes above.

The personal data you provide in relation to seeking a refund after a trial cancellation will be held securely by TRL for 1 year or until the next end of financial year audit to take place. After the audit has taken place the forms will be destroyed.

Who we share your Personal Data with

The Participant Information Sheet and Consent Form explains who will have access to the personal data/information collected as part of the Project.

Apart from FiveAI, we will only disclose information to third parties if we are under a duty to share your personal data in order to comply with any auditing and corporate governance functions or legal obligation.

Where we store personal data

The Personal Data we hold on you is stored on our secure servers in the United Kingdom.  We may also access Personal data stored by FiveAI.  Their privacy notice explains how they stored your data.

We will not transfer your Personal Data out of the UK. Any change to that storage will be communicated to you via an update to the version of this privacy notice that can be found on our website.

How we keep your Personal Data secure

We have implemented administrative, technical, and physical security measures to help prevent unauthorised access to your information. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Access to your information is restricted to only those employees, who need such access in order to operate, develop, improve, or deliver our programs, products, and services or Five AI for the purposes described in their privacy notice.

Automated Decision Making

We do not undertake any automated decision-making or profiling activities as part of our analysis of the research data you provide to us or FiveAI.

Access to your Personal Data (Data Subject Rights)

You have rights regarding your personal data as described below.
